These instructions relate to Outlook 2010 but should be similar for Outlook 2013, 2016 and 2019. The instructions assume that the IMAP protocol, rather than POP3, is to be used (POP3 needs different port settings). The instructions also assume that the server is ceres.uksrv.co.uk – this can be updated to another server as appropriate.

To add a new IMAP account:

  1. Open Outlook and click on the File tab.
  2. Click on the Account Settings button and select Account Settings…:

  1. The Account Settings window will be displayed. Click New…

  1. The Add New Account window will be displayed:

Select Manually configure server settings or additional server types and click the Next > button.

  1. Leave Internet E-mail selected and click the Next > button.

  1. On the next screen, specify your Internet E-mail settings:
    • Enter Your Name and E-mail Address.
    • Set the Account Type to be IMAP.
    • Enter the email address.
    • Ensure that the Incoming mail server is ceres.uksrv.co.uk.
    • Ensure that the Outgoing mail server is ceres.uksrv.co.uk.
    • Enter your username. This must be your full e-mail address (including the “@orchidserve.com” part).
    • Enter your password.
    • Ensure Test Account Settings by clicking the Next button is checked.

  1. Click on the More Settings… button to display the Internet E-mail Settings window and then click the Outgoing Server tab:

Ensure that My outgoing server (SMPT) requires authentication is checked and Use same settings as my incoming mail server is selected.

  1. Click the Advanced tab. Ensure that:
    • Incoming server (IMAP) is set to 993.
    • Use the following type of encryption connection is set to SSL.
    • Outgoing server (SMTP) is set to 465.
    • Use the following type of encryption connection is set to SSL.

Once these are set, click OK to close the window.

  1. Click the Next > button.

Outlook will then test the Account Settings:

A tick should be displayed against each task once the test is complete.

Click the Finish button to close the Test Account Settings window.

  1. Click Close to close the Account Settings box.

Click Next. Your account will now be configured:

  1. Click Finish. The new account will be added to the list of accounts in the Account Settings window:
